The VP of the MITRE Healthcare FFRDC is seeking an Executive Assistant to support her and the Deputy Program Manager of the Center for Transforming Health. The primary focus of this position is the efficient and proactive execution of all operational and administrative functions of the office while maintaining the highest level of personal and professional standards and conduct. This position is located in Baltimore, Maryland. The successful candidate should have demonstrated experience within the last two years of supporting a senior Officer or recent experience supporting equivalent executive level staff externally.

Key Functions:

In this dynamic, fast-moving role, your key responsibilities will include:
• Managing the VPs and Executive Leader’s daily schedules, which require the ability to prioritize requirements and demands.
• Self starter able to work with supporting these individuals while they are at sponsor sites or Mclean
• Arranging for all travel including preparing itineraries.
• Learning the MITRE’s Corporate goals to prioritize work effectively and efficiently as a strategic partner who can anticipate requirements.
• Reviewing email to identify priority actions and follow-through on outstanding actions.
• Engaging with senior officials and executives from government, commercial industry, and academia to understand requirements and secure appointment dates/times and coordinating all aspects of visits including preparing for and receiving executive-level visitors. This will require supporting quarterly advisory board planning preparation, and communication.
• Planning, coordinating and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc.
• Maintaining security of all highly sensitive, confidential information.
• Working in a collaborative atmosphere with entire Executive Admin team, where vacations are coordinated, and coverage secured as necessary, and that telephone coverage is provided for all Officers during business hours.
• Coordinating with the Executive Admin team to support weekly Officer meetings including preparation of agenda topics; gathering, delivering, and posting read-ahead materials; and identifying and posting action items to SharePoint site.
• Coordinating with Executive Admin team to support weekly Sr. Leadership Staff meetings which includes the shared responsibilities of securing VTC rooms; preparation of agenda topics; gathering, delivering, and posting read-ahead materials; taking notes during meetings; and identifying and posting action items to SharePoint site.



Required Qualifications:
• The successful candidate must have demonstrated experience within the last two years of supporting a senior Officer or recent experience supporting equivalent executive level staff.
• Ability to work collaboratively with others.
• Strong organization skills with attention to detail.
• Ability to work independently while interacting with MITRE and government professional staff.
• Able to proactively assess situations and make decisions within broadly defined practices and procedures.
• Competence in the latest mobile, desktop, and VTC technologies.
• Able to travel to Mclean for the day for planned events and meetings planned in advance approx. 4-6 times a year.

Preferred Qualifications:
• Requires high level of poise, tact and diplomacy in working closely, often under time pressure, with highly-sensitive information, with a diverse group of executives, government officials, high-ranking military officers, customers, managers and support personnel.
• Superior interpersonal, written and verbal communication skills.
• Ability to effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy and follow through on a broad range of administrative support tasks.
Minimum Qualifications:
• Associates Degree or equivalent experience
